Missing Approve Batch Button
The ‘approve batch’ button is only visible when all documents (excluding risk improvements) are approved and converted to PDF.

If you find a survey report, like the example above, that has an approved status in the first column, but the format is still Docx then the two most likely causes are:
- Someone else has the document open, so the file cannot be converted to PDF.
- The image resolution is too high, meaning the file size of the document is too large.
Open the document that has not converted to PDF, you will see if someone else has the file open by the user icon/image showing towards the top right corner, as shown below. Asking that person to close the document and then approving again may resolve the problem. You may also need to wait a few minutes after they can close it before it will convert.

If that does not work, or no one else appears to have the file open then the next step to try is compressing the images.
Scroll down to the photo section at the bottom of the report.
Select one of the photos, then click the Picture Format tab that appears in the top banner.
Click Compress Pictures.

Untick Apply only to this picture and then select the resolution option for E-mail.

Click OK then save and close the document.
If you approve the document again now it should now convert to PDF.
